C. Scheduling Clients

Medical Trips

The window for scheduling clients for medical trips opens 2 weeks prior to the appointment
day and no earlier. Any clients requesting a trip more than 2 weeks in advance should be
directed to call back on the appropriate date as to when the window opens. Medical trips
can be scheduled up to 24 hours in advance of the date, but client requests may not be
able to be accommodated on such short notice.

Non-Medical Trips

The window for scheduling clients for non-medical trips opens 1 week prior to the
appointment day and no earlier. Any client requesting a trip more than 1 week in advance
should be directed to call back on the appropriate date as to when the window opens. Non-
medical trips can be scheduled up to 24 hours in advance of the date, but client requests
may not be able to be accommodated at such short notice.

3rd Party Provider Trips

For any client who uses the 3rd party provider, the trip request must be made at least 48
hours in advance of the service date requested. Any requests made within 48 hours may
not be able to be accommodated and must be sent for approval to the 3rd party before
booking.

Case Managed Clients

Case managed clients must have trips sent in by their case manager 1 week in advance of
the appointment, regardless of trip type. Medical can be made 2 weeks in advance. If a
client calls in to schedule a trip, please remind them that their case manager must make
their request by filling out and sending in the proper form. If the request is a standing order,
only the case manager can change the standing order. The client, caregiver or family
members are not to make any changes without the case manager sending the proper forms
to dispatch.
