personal usage results in charges to the Town for excess minutes, data usage or text messages not included in the Town’s plan. • Users are prohibited from engaging in any communication while using town-owned mobile devices that is obscene, threatening, demeaning, harassing or is otherwise illegal, unethical, or inappropriate under the Town’s policies or the laws and regulations of the State of New York. 3. Applications and Software • All town-issued mobile devices used by employees seeking mileage reimbursement are required to have MileIQ installed and actively used to track mileage. Employees must ensure this application is functional and data is reported as required for reimbursement processing. • Approved applications will be preinstalled on the mobile device. If an employee requires an additional application, they must coordinate with the Supervisor’s Office to have it installed. 4. Mobile Devices & Distracted Driving • Mobile devices should not be used to create a situation of distracted driving. The best practice to significantly reduce an accident when performing a distracting activity is to pull over in a safe location when you need to perform activities such as sending or reading text messages, using a hand-held mobile device for either outgoing or incoming calls, adjusting or programming navigation apps, accessing town software apps, or taking pictures related to town job duties. 5. Security and Confidentiality • Devices must be protected by password or a passcode, and users should not share login credentials. • Any sensitive or confidential town data stored on or accessed via mobile devices must be handled in compliance with town confidentiality and New York State Archives retention policies. 6. Maintenance and Support • Employees must promptly report any technical issues, loss, or damage to their device to the Supervisor’s Office. • The town will manage necessary updates, repairs, and replacements through the approved vendor for the town. 2
