Invitation
Your firm is hereby invited to submit a proposal for operation of the Town of Hamburg Vending Machine
Operations. This RFP neither commits the Town of Hamburg to select an operator nor reimburse any costs
associated with the preparation or submittal of proposals in this regard. The Town reserves the right to reject any
and all proposals, should it be deemed to be in the best interests of the Town of Hamburg.

Introduction
The Town of Hamburg currently utilizes a variety of Contractors and product lines for food and beverage machine
vending. It is the Town's intent to streamline the purchasing process, promote continuity of product line across the
varying facilities and in turn increase profit potential and reduce staff time dealing with multiple Contractors.

Scope of Services
It is the Town of Hamburg's intention to award a sales and vending service contract to one Contractor who will
provide all of the following services:
1. Food and beverage vending machines at specified Town of Hamburg locations.
A. Food Vending Machines
The Town has identified the following locations as appropriate sites for placement of snack vending machine(s)
unless another location(s) is otherwise specified by the Town:

Hamburg Ice Rink 2 food vending machines(1 refrigerated food vending)
2980 Lakeview Rd 2 beverage vending machines
 Hamburg, NY 14075

Additional locations can be added to this contract by MOU document, signed by both parties, which must list the
new location(s), date of installation and type and number of vending machines. In the event that a Contractor
wishes to visit the specified location above prior to submitting a Proposal, it is the Contractor's responsibility to
schedule a site visit independently.
Contractors will be responsible for installation, removal, stocking, maintenance, and repair of the machines.
Contractors will be responsible for all licenses required to market the stock within the machines. As part of their
proposal, contractors are to disclose information regarding any subcontractors that will be involved with the
delivery of vending services to the Town. This information should include subcontractor's adherence to the
Town's insurance coverage requirements.
B. Product Selection and Pricing
The variety and brand names of the items to be sold shall be spelled out within the "Proposal Format-
Attachments" section of the proposal. All contractors must identify as part of their proposal whether such brands
are available as a result of related marketing, sale or concession agreements with distributors and or/producers.
Pricing strategies are critical to ensure purchase. Contractor will work with the Town to ensure competitive
pricing.
C. Initial Installation
Contractor shall provide transition plan for how long it will take from time of award to implementation of service
plan including how machines will be added, moved, and removed from facilities. Vending machines and service
should be operational no later than September 12th, 2026.
